Transaction Coordination
What does a real estate transaction coordinator do? JC13 helps manage the administrative details after a purchase agreement is signed, so the people in the transaction can see what is due, who is following up, and what comes next.
A real estate transaction coordinator (TC) organizes the administrative work that follows an accepted offer and continues through closing. The role is the transaction’s operational hub: keep the file orderly, track dates written into the contract, request and route documents, and coordinate status updates among authorized participants.
Less chasing paperwork. More visibility on documents, deadlines, and next steps.
What a transaction coordinator handles
Each transaction is different, and the signed agreement controls its dates and requirements. Depending on the service arrangement, coordination may include:
- Opening and organizing a transaction file after the agreement is executed.
- Building a milestone checklist from contract dates and supplied instructions.
- Tracking signature status, document requests, addenda, and delivery confirmations.
- Following up with authorized parties about open administrative items.
- Helping coordinate inspection, appraisal, title, lender, walkthrough, and closing appointment logistics.
- Sending status summaries and flagging approaching dates for the responsible professionals.
- Organizing closing documents and archiving the completed file according to the client’s process.
Who uses transaction coordination?
Real estate agents, brokers, investors, and transaction teams may use a coordinator when several files, deadlines, and people need consistent administrative follow-through. Buyers and sellers benefit from clearer handoffs, while their appointed real estate, legal, title, and lending professionals remain responsible for their own advice and decisions.
How JC13 supports the contract-to-close process
Set up the file
We gather the information provided by the authorized client and identify the transaction milestones to track.
Coordinate open items
We organize reminders, document requests, and status check-ins as the transaction progresses.
Prepare for closing
We help surface outstanding administrative items and coordinate the handoff toward the scheduled closing.
What a TC does not replace
Transaction coordination is not a substitute for a licensed real estate professional, attorney, lender, inspector, title or escrow provider. JC13 does not interpret or negotiate contract terms, make legal or financial decisions for a client, or promise that a transaction will close. The authorized professionals and parties retain responsibility for their own obligations. Permitted duties vary by jurisdiction, license status, and the client’s instructions.
Transaction coordination questions
When does a transaction coordinator get involved?
Usually after the parties have an executed purchase agreement and the administrative contract-to-close process begins. The exact start point depends on the service agreement.
Can a coordinator negotiate or give legal advice?
JC13 provides administrative coordination, not legal advice or contract negotiation. Ask your attorney or appropriately licensed real estate professional about terms and legal questions.
Does coordination guarantee an on-time closing?
No. The coordinator can help track and communicate administrative steps, but closing depends on the parties, financing, title, inspections, contract terms, and other factors outside the coordinator’s control.
